Current & New Juried Artist Procedures

Managing Your Artwork at the Gallery

Once accepted into the Mattie King Davis Art Gallery, all artists are responsible for properly inventorying and labeling their work every time they bring in or remove pieces from the gallery. The procedures below apply to both new and current juried artists.

1. Artist Inventory Cards

Each artist must prepare and keep an up-to-date Inventory Card on file. Accurate inventory cards are essential for tracking sales. Cards must include:

  • Name, phone number, email address, and mailing address
  • Date the work was brought in
  • Inventory number (assigned by the artist) for each item, including all jewelry, ornaments, and notecards
  • Title of the work
  • Size and media
  • Price

For notecards: List all single cards and multiple card packs separately. If multiple cards or packs share the same image, you may use one inventory number for that image and add letters (a, b, c, etc.) on your Inventory Card for each card. Attach a sticker with the corresponding inventory number to each card.

2. Removing Work

When removing art from the gallery, use a blue or black pen to line through the item on your Inventory Card, enter the date, and sign your name in the Withdrawn By column.

Do not use red ink when withdrawing work. Red ink is reserved for work that has been sold.

3. Gallery Tags

A Mattie King Davis Gallery Tag must accompany every piece of art brought in for display. Tags are available at the gallery. Each tag must include:

  • Matching inventory number
  • Title
  • Size and media
  • Your name
  • Price

For matted work and notecards, secure the tag to the front of the piece. For framed art, leave the tag with the painting rather than attaching it to the frame. Do not tape the tag to the frame or the painting.

4. Notecards and Card Packs

Each notecard and card pack must have its inventory number from your Artist Inventory Card attached using a small white tag.

5. Additional Materials

Artists are asked to provide business cards, a resume, and any other relevant information for use on the Mattie King Davis Art Gallery website.

If No Volunteer Is Present

If no volunteer is available when you bring in or remove work, leave your Artist Inventory Card on the desk with a note marked either “New Work” or “Work Removed.” The next volunteer on shift will complete the required forms to update inventory records.

Do not hang your own work. Leave all inventoried and tagged pieces leaning against the wall on the floor in the main room. The hanging committee will hang your work.

Questions About the Process?

The gallery runs entirely on volunteers. If you have questions about inventory procedures or need a Gallery Tag, stop in during open hours or get in touch before your next drop-off.
